Position Summary

The Bid Executive will be responsible for managing the end-to-end bid management process for technology proposals, ensuring all relevant information is gathered, structured, and delivered in a compelling format. Additionally, the role will oversee sales coordination activities, ensuring smooth collaboration between teams and the timely delivery of sales objectives.

Key Responsibilities:

Bid Management:

1- Bid Planning &  Management:

  • Lead and coordinate all activities related to preparing and submitting bids, including timelines, resource allocation, and task tracking.

2. Information Gathering:

  • Collaborate with internal teams, including sales, pre-sales, technical, and finance departments, to gather all necessary information for bids and proposals.

3. Proposal Development:

  • Develop and write persuasive and comprehensive bid proposals tailored to client requirements, ensuring alignment with organizational goals and standards.

4- Compliance & Quality Assurance:

  • Ensure all proposals meet client specifications, compliance requirements, and are reviewed for accuracy, relevance, and quality.

5. Bid Analysis:

  • Conduct post-bid reviews and analyze outcomes to identify areas for improvement in future submissions.

Sales Coordination:

1. Sales Support:

  • Act as the primary liaison between the sales team and other departments to ensure timely and efficient communication of client requirements and deliverables.

2. Documentation &  Reporting:

  • Maintain an organized repository of sales documents, proposals, and contracts. Provide regular updates and reports to the sales leadership team.

3. CRM Management:

  • Ensure accurate data entry, tracking, and reporting within the CRM system, supporting the sales pipeline and forecasting.

4. Team Coordination:

  • Support the sales team by organizing meetings, preparing agendas, and following up on action items.

Required Skills

  • Analytical Thinking: Ability to analyze client requirements and develop tailored proposals.
  • Attention to Detail: Ensures all bids are accurate, compliant, and polished.
  • Collaboration: Strong interpersonal skills to work across teams and departments.
  • Project Management: Excellent organizational and time-management skills to handle multiple bids and priorities simultaneously.
  • Communication: Exceptional written and verbal communication skills, with the ability to translate complex information into clear and concise proposals.
  • Proficiency in Tools: Familiarity with MS Office, CRM tools, and proposal management software.

Education & Experience

  • Bachelor’s degree in business administration, Engineering, IT, or a related field.
  • 3–5 years of experience in bid management, proposal writing, or sales coordination, preferably in the technology or infrastructure domain.
  • Experience working with cross-functional teams in a fast-paced environment.
